Provide the BU with high level administrative and operational support, including financial logistics and Line Management of junior staff members.

Team Management

  • Line Management of Operations Coordinator – overseeing all work across CI and CY case administration and office coordination in the US

Office Management

  • Conduct monthly meetings with local leadership.
  • Manage and update local policies and procedures, including documentation, enforcement and audit of these
  • Manage AXA office and Industrious workspace relationships
  • Manage the relationship with S-RM’s approved travel provider(s) in the US
  • Provide ad hoc support as needed to the roll out of IT projects and initiatives assisting the IT team with local communications and co-ordination of activities as needed


  • Assist UK HR with the ongoing review of S-RM’s US HR policies for compliance state-by-state (e.g. DC’s requirement to permit leave to take care of sick family members)
  • Liaise with UK HR, US brokers and legal advisors to determine HR-related legal requirements in the US; document and implement these or raise to appropriate stakeholders (e.g. DC’s annual requirement to inform staff of the paid family leave policy)
  • Liaise with UK HR, external advisors, and US business leaders in order to support the review of benefits policies: based on their knowledge of the US market, help to determine business needs, and competitiveness of the offering; collect employee feedback and present findings and recommendations to UK HR
  • Support HR in communicating policies, benefits and other matters when and if required.

Legal and Risk & Compliance

  • Providing support on the local insurance programme as required by S-RM Risk & Compliance (may include insurance renewals activities, notifications and claims administration)
  • Point of contact in applying for and maintaining licences and tax / business registrations (and relations / dealing with local registries and offices in relation thereto, such as DCOPLA).
  • Working with legal to be point of contact and liaison / assistance with local / US external counsel (e.g. for settling invoices).


  • Track and chase aged debtors in the US; report aged debtor information to management and Finance; escalate where appropriate
  • Liase with external clients for overdue payments (as their main contact) – regularly report updates to Credit Control Manager. Comply with AR processes and procedures. Maintain accounts receivables report supplied by Credit Control Manager.
  • Liase with Finance on month end figures analysis for US and assist with internal chasing for closure
  • Identify and maintain register of required state and federal taxes in the US; monitor that all relevant taxes are paid on time; set up accounts and process payments where necessary; work with external providers to ensure payments run smoothly
  • Support Group Finance in Maintaining relationship with external tax advisors (including HR support on US payroll); coordinate requests for support from the business; collect feedback and research and recommend changes or additions to advisors as needed.
  • Assist finance to create analysis packages including sales and tax related figures for US Based Clients Create US Finance packs for Directors and Board members Liase with Finance on month end figures analysis for US and assist with internal chasing for closure

The role will be based in our New York or Washington DC office, however we have flexible working arrangements available.


The qualifications and experience required to perform this role successfully are:

  • Extensive experience in a similar role
  • Proficient with Microsoft Office (especially Excel and Word)
  • Comfortable with basic office machines, like desk phones, cellphones and printers
  • Proven ability to work collaboratively with others
  • Excellent communication and time management skills

The successful candidate must have permission to work in the USA by the start of their employment.
